Creating a safe and secure environment must be high on the priority list of just about any school, ensuring that everyone on site at any time is registered and authorised to be there.

In addition, keeping track of when visitors or pupils and staff arrive or leave can be a complicated task, which has traditionally relied on paper-based systems and the keen eye of a receptionist to catch anyone before they go to retain their pass or lanyard.

All of which seems a bit outdated in this day and age, when almost everything operates digitally, with connections to stored data and online records for monitoring and reporting as required.

As such, we delighted to launch our latest partnership with the digital visitor management system provider, EntrySign.

Simplifying the process of visitors signing in and out

By providing pupils and staff with access to premises via an entry card or fob system, signing in can now be as simple as a swipe, making the whole process simple and efficient.

For visitors, entering a school site for the first time can now be completed via no more than a few taps on a touchscreen, with entry credentials then printed instantly for future reference.

Create an attendance record for staff, pupils, visitors and contractors

As a result of making the access process digital, it is now possible to keep a live register of attendance records for pupils, staff and site visitors, making old-fashioned, paper-based sign-in books a thing of the past.

This offers schools additional peace of mind when it comes to protecting this sensitive information and complying with GDPR regulations, with all records stored and backed up safely.

Safeguarding is also supported by using a digital solution from EntrySign, with attendance data sent to SIMS, including late marks, so you can keep a close eye on pupils’ movements across the school day. In addition, it’s really easy to identify a specific visitor to your site and when they arrived or left, as well as being able to view their photo.

Explore historical information and generate detailed reports

Looking back through historical records of entry and departure can be a time-consuming and labour-intensive task, relying on exporting and importing of data and connecting with multiple tools or interfaces.

EntrySign dramatically reduces this need for taking data out of one system and back into another by providing an easy-to-use interface for looking up historical data and generating detailed reports, allowing users to dig into the info as much as they need.

Integrate with SIMS for managing attendance registers and emergency roll-calls

Thanks to integration with SIMS, EntrySign automatically populates staff and student details from your master database records, helping to keep your administration simple, smooth and efficient. In terms of your pupils, though it integrates with SIMS and works alongside your existing registers, it does not overwrite the data in SIMS, maintaining the integrity of your master attendance records.

This integration also becomes invaluable in an emergency, connecting with school registers to provide up-to-date information for roll calls to help ensure that everyone is accounted for. After the emergency situation has been resolved, users can then create an evacuation report with a single click, which can then be distributed to multiple printers or email recipients.

A safer and smarter sign-in process

Site access and signing-in can be one of those processes that takes more time that it really needs, taking away the attention of staff from their duties and adding an additional, unplanned task.
